OPS ( Outgoing Preparation Seminar ) is a compulsory seminar hold by AIESEC Taylor’s University for the people who are going to exchange abroad before they fly off. The purpose of this seminar is to maximise the quality of the EPs ( exchange participants) exchange experience and the impact and value of their AIESEC exchange.
I was appointed as the Organizing Committee of Finance and Delegates servicing. For pre-event, my roles including estimating the budget of the event, create registration form, record the expenses, create delegate booklet and email them while answering all their enquiries, create attendance list and feedback form; during the seminar day itself, I have to take down the attendance of delegates; while after the event, I’ll have to do documentation of everything including financial record, attendance list for delegates, and report of OPS regarding the improvement that can be made by looking through the feedbacks.
This was the first event I engaged as Organizing Committee after joining AIESEC for a month since April, and I was pleasure to have this opportunity. I believe every single small thing will build up what we are in the future, including this event. What really impact me was the google spreadsheet that was used to provide every details of this seminar and keep track with what we need to do till the event pull off. For an organized person like me, this spreadsheet really allows me to have a clear idea of what me and other OC need to do within a given timeframe, which certainly allowed us to make things work more efficiently. Also, what I learnt as part of the OC team includes the flow of an OC meeting in an event, the organization of an event which include 3 parties, and other small things that might have impacted me without me realising.
I am really thrilled that I’m able to apply what I’ve learnt from OPS till now : I am still using the same way of controlling an event by using google spreadsheet, and also able to hold an OC meeting myself in other events!
